Our client, a charity asked us to organize their Bi-annual Ball for 500 guests.
Planning and Preparation
Something spectacular, memorable, mind blowing and yet within budget! Not an easy objective to fulfill, but the Big Top and Carnival theme ticked all the boxes. Along with an extremely full agenda of theatrical activities, charity events rely on the generosity of others, and preparations commenced early in the year for donations to the auctions, supplies and advertising. The extensive and involved build resulted in a very detailed build week, planned to the minutest detail.
The Event
The build for this event went on for a week. The interior design and set up taking two days. The many bars, auction tables, catering marquee and big top area all coming together hours before the evening commenced. Final rehearsals and settings were checked and double checked to make for a perfect night of entertainment and enjoyment.
One way traffic plans resulted in easy access and departure for our guests, with valet parking and traffic marshals ensuring no bottle necks occurred.
Guests start arriving at 19:00 to be greeted with champagne, canapés and a free bar. The entertainment begins with a Royal Navy Heritage Fly Over, followed by the walk into the Big Top to a display from the Swamp Circus Act, hanging from the marquee on silks. A three course meal, a packed night’s agenda and amazing musical acts made for an amazing and successful evening which continued into the early hours of the morning.
Results and Outcomes
The event is always an amazing success with guests. Each Ball adds to the Charity’s funding and advertising, with the question of how much more will the next Ball achieve?
