Background & Objectives
Our client, a large retailer of telecommunications asked us to organize the logistics for their Annual Christmas Ball, with guests now in excess of 12,000.
Planning and Preparation
Initially we investigate the best possible travel arrangements based on timings and budget to enable the guests to leave work on Saturday night, attend the ball and return ready for work on the Sunday morning. We also manage all their replies, transport requests and any queries, enabling us to result in a comprehensive reception list and all transport booked.
The Event
We arrive onsite early on the day of the Ball to set up reception stands, cloak room and coach arrival sites. The 24 hour telephone is manned at all stages to answer any queries, any late additions or removals from the reception list.
Transport for the guest begins at midday and by 19:30 we are ready for the first guest to arrive. We have representatives at all airports and train stations to manage our guests onto the relevant coaches to take them to the Ball destination. Guests arrive via foot, taxi and coach from 19:30 onwards with the last coach arriving at 23:00 for the massive main surprise act at 00:00.
Reception is manned through until the early hours with the first coaches leaving at 02:00 and the last guests leaving when the Ball closes at 05:00.
Results and Outcomes
The event is always an amazing success with guests, although traveling long distances enjoying themselves thoroughly at their Christmas Ball.
